Job Description

We are looking for highly motivated, over-achieving, hands-on Chief of Staff who flourishes in a fast-paced, dynamic environment to serve as a right arm to our CEO! 

The Chief of Staff possesses dynamic leadership capabilities and proven experience in strategically managing project lifecycles and the alignment of these to strategic company-wide roadmaps. S/He has the ability to identify and prioritizes strategic imperatives to ensure alignment with corporate strategy and is a strong team player willing to partner and engage with other functional units to deliver substantive added value to business planning and operations. The ideal candidate must be a strategic contributor with impeccable business acumen and communication skills.

Qualifications

Primary Responsibilities:

  • Program Management: Weekly, monthly, quarterly and annual responsibilities which including planning, information gathering, and deliverables to increase CEO productivity and effectiveness.
  • Strategic Initiatives: Discrete projects lead (or co-lead) on behalf of the CEO and the executive team. For example, improve coordination across functional teams to operationalize short- and long-term vision and goals.

  • Communication: Sends the right messages and information to appropriate audiences verbally and in writing; ability to inspire/interact effectively spanning all levels in the organization, from Boards of Directors through line staff; keeps all stakeholders informed; inspired presentation skills; adapts communication style to needs of audience.
  • Collaboration/Influencing: Actively gathers appropriate maximum level of participation and input to decision-making, and fosters same within team; persuades others to see/recognize new perspectives to reach best outcomes; strong matrix management and influencing skills.
  • Analytics: Understands and actively seeks use of metrics and critical thinking to distill situations, guide messages and make decisions.
  • Accountability: Unquestionable ownership for delivering service and meeting business objectives, managing specific tasks to completion with high attention to detail and quality, and minimal direction.

Specific Duties include, but not limited to:

  • Meeting and presentation support, strategy development and execution, stakeholder engagement, and reporting.
  • Liaison to finance and accounting, sales, marketing, professional services, business consulting and other shared services groups.
  • Streamlines and consolidates business management functions in order to increase efficiency and uniformity.
  • Consolidator of information from sub-groups for various projects and deliverables.
  • Leads operational planning efforts and ensures full integration into multi-year financial planning, strategic planning and regional/business planning efforts. Ensures that planning includes high degree of stakeholder engagement; designs, leads, and/or facilitates joint strategic planning and related forums.
  • Leads the development of the functional group’s strategic roadmap and the development and direct management of the portfolio ensuring that it is strategically aligned.
  • Implements operational roadmaps and practices to align with key business issues and strategic objectives.  
  • Ensures that new processes and procedures to support strengthened business management practices are fully integrated into management practices and standards.
  • Creates and implements strategic approaches, plans, and timelines. 
  • Develops, designs and implements Metrics/Dashboard Reporting for key business management initiatives, and/or other ad hoc needs to support functional group’s business objectives and strategic imperatives. 
  • Ensures that functional groups are meeting stakeholder expectations.
  • Develops communication approaches and strategies, determines presentation focus and emphasis, and prepares board-level presentations to support AIC functional group and IT business objectives.  
  • Sets agendas and conducts functional group leadership staff meetings based on business priorities.

General Requirements:

  • Solid interpersonal skills to interface with customers and co-workers
  • BA/BS degree in analytically-focused field (Mathematics, Statistics, Sciences, Operations Management, Quantitative Methods, Economics, Financial Analysis or Business Studies)
  • MBA from a leading business school is preferred
